OUSV Rules

Background

The Rules of OUSV have been developed by the Committee of the Society and are based on an amended version of the 'Model Rules' as defined in Part 5 of the Associations Incorporation Reform Act 2012 (the Act). This means that the Society has adopted its 'own rules' and these rules are designed to comply with the Act and address every aspect detailed in Schdule 1 of the Act - 'Matters to be provided for in the rules of an incorporated association'.

Please note that presently OUSV is not an incorporated association. However, in 2020 the Committee voted to prepare a recommendation to members to incorporate OUSV and in 2023 at a general meeting the proposal was approved. In anticipation of this change, much work has been undertaken to prepare the Society through the adoption of formal rules and the redesign of most administrative and financial processes. The application for incorporation has been lodged and is awaiting approval from Consumer Affairs Victoria.

Why is OUSV seeking to incorporate?

For many years OUSV has operated essentially as a social group. However, the continuity of the Society has tended to depend on the goodwill of a few dedicated volunteers. Furthermore, the attendant administration has been undertaken according to the preferred method of the Committee and its members at the time, and has included a lot of time-consuming manual processes.

Incorporation is therefore part of an overall strategy to strengthen OUSV with the following broad objectives.

  1. Transform the effectiveness of how we manage the Society and improve the experiences we can offer members, at the same time as significantly reducing wasteful and inefficient administrative processes.
  2. With the assistance of technology, implement and document a common method for how the Society is managed day-to-day that is clearly understood by the Committee and all members of OUSV.
  3. Through incorporation and the formulation of rules, adopt recognised governance processes in order to protect the interests of OUSV and its members.
  4. Through all of the above, ensure that continuity is maintained by reducing the reliance on a few hard-working volunteers and allowing for seamless transitions as responsibilities are, over time, passed onto new Committee members. 
  5. To represent the University as befits its good name and reputation by displaying professionalism in all we do.

OUSV Purpose and Rules

The rules of OUSV have been approved by the Committee and by Members at the 2023 AGM. Further amendments were approved by Members at a Special General Meeting on 2nd August 2023.

The Purposes of OUSV
  • To provide opportunities for Oxford graduates, and those with a strong connection to the University, to maintain active relationships with fellow graduates and with the University of Oxford.

  • Organise activities and social events on behalf of its members.

  • Provide an informal channel of communication from the University of Oxford to members.

  • Build and maintain the reputation of the University of Oxford within Victoria and encourage a spirit of community and inclusiveness among those who have studied, taught at, or are otherwise associated with the University.

  • Engage in activities which benefit either or both, current and prospective students of the University.
